What we do with your personal data.
We're a catering business, not a data business. We only record what we need in order to cook for you, and nothing more. Below you'll find exactly what that is.

We are responsible for the personal data we receive through this website and by email.
What we record, and why
When you fill in the enquiry form.We keep your name, email address and phone number, along with what you tell us about the occasion: who it's for, how many guests, when and where, whether it needs to be kosher, how you'd like it served, and any message you add yourself. We need this to put together a proposal for you, which is why you're filling it in.
If it becomes a booking.We then add the details that belong on a quotation and an invoice: the billing address, what we've agreed and the amount. We process these to fulfil our agreement with you, and we're required to keep them afterwards for the Dutch Tax Administration.
When you order online.We keep your name, email address, phone number, what you've ordered and, if you choose delivery, the delivery address. We need these to prepare your food and get it to you. The payment itself is handled by our payment provider; your bank details never reach us. We only see that a payment has been made, the amount and the payment method.
When you email or call us. We keep your message and your details for as long as we need them to reply to you.
What we don't do
- We don't store IP addresses when you use the enquiry form.
- We don't track your visit and we don't use tracking cookies.
- We don't sell or rent out your data to anyone.
- We don't send you marketing emails just because you once made an enquiry.
- No decisions about you are made by a computer.
Cookies
The public part of this website doesn't use cookies. Only when you log in to the private part, as a member of staff or to view a quotation, do we place a single technical cookie that remembers you're logged in. Logging in doesn't work without it. It's removed when you log out.
Who else sees your data
Only the people at Chef on Wheels who are working on your booking. We also use a small number of companies that provide our technology, and they may not use your data for anything else:
- the provider that hosts this website and our system;
- the provider that hosts our database;
- the provider that sends our emails;
- our payment provider, when you pay online, which receives your name and the amount and handles the payment with your bank;
- Google Calendar, which holds the schedule for a job once it has become a booking, with the date, the venue and your name;
- the Dutch government's address register (PDOK), when we look up an address to record it correctly.
We don't pass on anything else, unless the law requires us to.
How long we keep it
- An enquiry that doesn't lead to a booking: up to two years. A wedding or Bar Mitzvah is often booked later on, and this way you don't have to tell us everything again.
- Quotations, invoices and the related records: seven years. That isn't our choice; it's the retention period required by Dutch tax law.
- An order you started but didn't pay for: this is deleted automatically after a month. Nothing has been paid or delivered, so there's no reason to keep your details.
- Other emails: for as long as they're relevant, and no longer.
Your rights
You can ask us what personal data we hold about you, and ask us to correct it, delete it or stop using it. You can also ask for a copy in a file you can take elsewhere. A single email to info@chefonwheels.nlis all it takes; we'll respond within four weeks. We can't delete anything we're legally required to keep, but if that's the case, we'll tell you.
If we can't resolve things together, you can file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
Security
All traffic to and from this website is encrypted. The private part can only be accessed with a personal login, and passwords are stored in encrypted form, so even we can't read them.
Changes
If anything changes in the way we work, we'll update this statement. This version dates from 28 July 2026.
